Yeah, true dat, I guess we will have to make sure that if this is the location then we prolly could look into getting a tent.
first let us secure locations and schedule.
then we can take a poll on who is showing up
that will give us a head count (take 50% off )
then we can figure out if what we need and how much

are we planning this to be a bring yer own food and drink event?

I wanna say yes and no, cuz we could try to get a restaurant to sponsor us to get some free food, but of course they can only bring so much.

Xander,
One of my good friends owns 3 Taco and Burrito Express restaurants (Mundelein, Crystal Lake and McHenry) and they setup stands at all of the carnivals and festivals in the Northern Suburbs, I am sure I can have him setup a stand w/ all kinds of food, he would probably set it all up for free, but would charge for the food, their food is VERY inexpensive.

For real, their food is really good and they have much more than Tacos, they have Tortas, Burritos, Quesadillas, Flautas, Nachos and Horchata.

If he would even bring about the food, i'm sure we can cater the drinks... it'll be cheaper that way..or would it be? i mean, we'll have to charge for the drinks too... like 50cents a can or sumthin...

Well Sam, that sounds like an awesome idea, if you can, ask him if he could cater the meet, and ask him how much would he charge appoximately so the people that are coming know how much money to bring, or ask how much we have to pay ahead of time.

Alright, I just talked my friend and he said he would love to help out, the only thing is that he cannot bring all of the equipment he would normally bring to the carnivals because it takes them several hours and LOTS of work to setup, he would normally bring the HUGE 400lb flat metal grill, tents, tables and all of the supplies needed, but it would barley be worth the time for a one day event. He said that he will try to figure out a way to bring the same food selections, but on a smaller scale and he will be more then happy to cater for us.

Awesome, I know he prolly can't bring all the food that he has on the menu, but he should have selections that is the locals favorites. Any posiblity he could give a small discount for this event?

The prices on the link are not accurate, those are if you go to the restaurant and eat, the pricing for the events are different. It is really reasonable. I will give you more details as I get them!
